Tools and services: what goes where

Which tab a company belongs on decides what you can record about it.
Tab
What goes there
Examples
Tools
Software your team logs into
Slack, Notion, Moneybird, Google Workspace
Services
Companies you pay for work
Accountants, lawyers, insurers, payroll providers
Only service records hold contact people.
Some companies are both. Create the record on the tab that matches how you use them.

Your suppliers, and the rest of the catalog

Each tab has two collapsible groups: Your tools or Your services, already linked to a role here, and Available, the rest of the  shared catalog .

Finding one

  • The filter box searches names and descriptions. / jumps into it, Escape clears it.
  • The category dropdown covers 17 categories, from Accounting & finance to Office & facilities.
  • Click a row to open its detail panel.

Contact people on a service

Each contact holds a name, title, email, phone, and a Context note for what you'll want later: "invoice questions", "emergency contact", "account manager since 2024". Hover a row to copy the email or phone.
Add one with the + next to the Contacts heading.
On a shared service record, contacts are visible to every organisation using it, and the panel says so. Keep private relationship details out.

FAQ

Why no contacts on a tool? Tool records describe software shared across organisations, not your relationship with a reseller. Put that on the service record you buy through.
A supplier is on the wrong tab. Email us. The type isn't editable in the app.
